How to Handle a Client Who Has Exceeded Their Limits
It's inevitable - eventually one of your clients will exceed their allocated disk space, bandwidth, or other resource limits. How you handle it reflects on your professionalism as a hosting provider.
Identifying Accounts Over Limit
In WHM, go to Account Information then View Resource Usage or List Accounts. Accounts exceeding limits are typically flagged and may show warnings or error states. Bandwidth overages are visible in the View Bandwidth Usage report.
Communicating with the Client
Contact the client as soon as you notice they are approaching or have exceeded their limits. Be friendly and proactive - most clients appreciate the heads-up rather than discovering their site is down.
- Explain what resource they've exceeded and by how much
- Offer upgrade options to a higher-tier plan
- Give a clear timeline for when action needs to be taken
Temporarily Increasing Limits
If the client needs a short-term grace period while they decide on an upgrade, you can temporarily increase their limits:
- In WHM, go to Account Functions then Modify an Account
- Find the client's account and increase the disk quota or bandwidth limit temporarily
- Set a follow-up reminder to revisit the account after the grace period
Upgrading the Account
If the client agrees to an upgrade, change their WHM package to a higher tier. Go to Modify an Account, select the new package, and save. If using WHMCS, update the product in WHMCS as well to ensure billing reflects the change.
