Email Storage Is Full - What to Do
When an email account reaches its storage quota, new incoming messages will be rejected. Senders will receive a bounce notification, and you won't receive any new mail until space is freed up. Here's how to fix it.
Option 1: Delete Emails to Free Space
- Log in to webmail at
yourdomain.com/webmail. - Sort your inbox by size to find large emails and attachments.
- Delete messages you no longer need - especially those with large attachments.
- Empty the Trash folder - messages in Trash still count against your quota until the trash is emptied.
Also check your Sent, Spam, and any other folders - these all count toward your storage total.
Option 2: Increase the Quota in cPanel
- Log in to cPanel and go to Email > Email Accounts.
- Click Manage next to the full account.
- Increase the Storage Space value, or set it to Unlimited if your plan allows.
- Click Update Email Settings.
Option 3: Archive Old Emails Locally
If you need to keep old emails but free up server space, download them via an IMAP client (like Thunderbird), then delete them from the server. This moves the messages to your computer's local storage.
Preventing Future Overflows
- Set up email filters to auto-delete spam and newsletters.
- Regularly review and delete emails with large attachments.
